Most audits are not hard because of what auditors ask for. They are hard because nobody is sure where the latest version of a document lives, or who approved it.
We worked with 40 regulated teams on Infynex DMS to find the habits that make audits boring - in the best possible way.
1. Every document has an owner
Assign a named owner to every policy, procedure and contract. When something is out of date, the system nudges one person - not a shared inbox.
- Version history is kept for every change
- Approvals are recorded with name, date and reason
- Retention rules archive documents automatically
2. Permissions match your org chart
Grant access by team and role rather than by person. When someone moves teams, their access follows automatically and nothing is left behind.
“Our last audit took two hours. The auditor asked for twelve documents and we sent a single link.”
3. Run a mock audit every quarter
Pick ten documents at random and check owner, version and approval trail. It takes 30 minutes and catches problems while they are still small.
